Privacy Policy

Jackson Park Golf Association ("JPGA," "we," "us") is an Illinois nonprofit corporation and a 501(c)(3) tax-exempt organization. This policy explains what personal information we collect, how we use it, and the choices you have. It applies to this website and to the programs we operate, including the Caddie Workforce Development Program.

Because we serve young people, much of the information we handle concerns minors and is provided by a parent or legal guardian. We treat that information with particular care, and the section on youth participants below describes how.

Information we collect

From website visitors

Information you give us directly through contact forms, program inquiries, newsletter sign-ups, volunteer interest forms, and donation forms — typically your name, email address, phone number, and any message you write.
Basic technical information collected automatically, such as your IP address, browser type, device type, the pages you view, and the site that referred you. We use this to understand how the site is used and to keep it working properly.

From program participants and their families

Youth participant information: name, date of birth, grade and school, home address, phone number, email address, and shirt or uniform size.
Parent or guardian information: name, relationship to the participant, phone numbers, email address, and the name and contact information of any additional adult authorized to pick up a participant.
Emergency contact information and any health or safety information a family chooses to share so that our staff can supervise a participant safely — for example, medications carried during an outing, mobility needs, or dietary restrictions.
Employment and payroll records for caddies we employ, including records required by law for the employment of minors.
Photographs and video recordings of program activities, subject to the permission election a parent or guardian makes on our registration forms.

Donations

Donations are processed by a third-party payment processor. JPGA does not receive or store full payment card numbers or bank account numbers. We do receive and keep a record of the donor's name, contact information, donation amount, and date, which we use for acknowledgment, receipting, and required financial recordkeeping.

How we use information

To operate our programs — registering participants, assigning and scheduling work, arranging transportation, and communicating with families.
To keep participants safe, including contacting a parent, guardian, or emergency contact and, if we cannot reach them, obtaining appropriate emergency medical care.
To meet our obligations as an employer of youth workers, including payroll, tax, and recordkeeping requirements.
To communicate about programs, events, volunteer opportunities, and fundraising.
To document our work in grant applications and reports, in materials for funders and partners, and in newsletters, presentations, press materials, and program displays — in accordance with the photo and video permission on file.
To improve our website and programs, and to comply with law.

Youth participants and children's privacy

Our programs serve young people, and we collect information about participants under 18 only from a parent or legal guardian through our registration and authorization forms, or from the participant with that parent or guardian's authorization.

This website is intended for adults. We do not knowingly collect personal information online directly from children under 13. If you believe a child under 13 has provided information through this site, contact us at the address below and we will delete it.

A parent or guardian may review the information we hold about their child, ask us to correct it, withdraw a photo or video permission, or ask us to delete information we are not required to keep. Some records — employment and payroll records in particular — must be retained for a period set by law, and we will explain what applies if that comes up.

Photographs and video

We photograph and record our programs to document the work, recognize participants, and support grant reporting, fundraising, and media coverage. Whether we may use a participant's image is governed by the permission a parent or guardian gives on our registration forms, and that permission may be withdrawn at any time by contacting us.

Where a family has declined permission, we make reasonable efforts to exclude that participant from photographs and recordings. We cannot control images captured by news media, tournament broadcasts, or other spectators at public venues, and we say so plainly on our forms.

We do not publish a youth participant's full name alongside their image without separate permission.

When we share information

We do not sell personal information, and we do not sell or rent our mailing lists. We share information only in these circumstances:

Program partners. When a program is operated with a partner organization — for example a host venue, a course operator, a tournament, or a partner youth organization — we share the participant information that partner needs to run the activity, such as a roster, ages, or emergency contacts.
Service providers. Vendors who work on our behalf, including payment processors, email and form platforms, cloud storage providers, and our accountants, and who are permitted to use the information only to provide their service to us.
Funders and grantmakers. Aggregate and de-identified program data for reporting. Where a funder requires participant-level data, we tell families before we provide it.
Legal requirements. When required by law, subpoena, or court order, or when we believe disclosure is necessary to protect the safety of a participant or another person, including reports required of us under Illinois law.

How we protect and keep information

We limit access to personal information to staff, board members, and volunteers who need it for their role, and we use reasonable administrative and technical safeguards to protect it. No system is perfectly secure, and we cannot guarantee absolute security.

We keep information only as long as we need it for the purposes described above or as long as law requires, and then dispose of it securely.

Your choices

You can unsubscribe from our emails at any time using the link in any message, or by contacting us.
You can ask us what information we hold about you or your child, ask us to correct it, or ask us to delete it, subject to records we are required to keep.
You can withdraw a photo or video permission at any time. Withdrawal applies going forward and does not require us to recall materials already printed or published.
You can set your browser to refuse cookies, though parts of the site may not work as intended.

Other websites

Our site may link to websites operated by partners, funders, or event hosts. We do not control those sites, and their privacy practices are their own. Please read their policies before providing information to them.

Changes to this policy

We may update this policy from time to time. The effective date at the top shows when it was last revised. If we make a material change affecting program participants, we will notify families directly.
